How it works

Structure the ensemble. Define works.Organize events. Read the Ensemble lineup.

Arko connects your ensemble structure, your repertoire, and your events. Every piece of information you enter directly supports musical organization.

Every event generates the information that matters. A schedule update or an unavailability instantly triggers targeted notifications to the responsible members and the musicians concerned. Everyone receives the information that concerns them, exactly when it matters.

01

Structure the ensemble

Define sections, subsections, and roles exactly as in your real organization.

  • Enable sections (Strings, Woodwinds, Brass…) and subsections (Violins 1, Flutes, Horns…).
  • Distinct roles: Owner, Administrators, Music direction, Musicians.
  • Self-onboarding via invitation code: members assign themselves to their section upon joining.

Standard foundations, complete flexibility

The creation of your ensemble is guided by a setup assistant and a recognized reference library of subsections and instruments.

Your sections can rely on these references to structure your roster quickly and consistently. If needed, you can also create your own subsections or instruments to accurately reflect the specific reality of your ensemble.

Master the repertoire

Each work has its own record: title, composer, arranger, shared resources.

Detailed instrumentation

Define precisely the subsections and the number of required musicians (e.g., 2 flutes, 2 oboes).

This definition enables:

  • Comparing instrumentation to the ensemble's permanent musicians.
  • Immediately identifying uncovered positions.
  • Applying these needs to events linked to the work.

Instrumentation templates

Save time by saving a typical instrumental configuration to reload it on other works.

  • Concerto: Save 1 reusable instrumentation template.
  • Symphony: Build a library of 30 instrumentation templates.
03

Organize rehearsals and concerts

Set the date, venue, and program. Relevant musicians are notified based on their assignment.

  • Call lists by section from the Basic plan.
  • Detailed call lists by subsection or instrument from the Suite plan.

Automated call lists

The event automatically reuses the needs defined in the work's instrumentation to precisely target the required musicians.

Nominative instrument assignment

The administration can assign each musician individually to a specific instrument or subsection.

This assignment generates a clear and named roster of the expected performers. Musicians who are not assigned are therefore considered not called for the event, ensuring immediate clarity and precise control over the performing lineup.

Required vs actual

Musicians are considered available by default. They declare unavailability from the event record.

  • Visualization of declared unavailability for each event.
  • Updating the actual staffing status.

Detailed Ensemble lineup analysis

When instrumentation is defined:

  • Comparing required musicians to those actually available.
  • Identifying gaps by subsection.
  • Targeted invitations for extras.
